Reliant Travel Group ("we", "us") respects your privacy and is committed to protecting your personal information in line with the Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why, and the choices you have.
Information we collect
When you submit a booking enquiry or contact us, we collect the information you give us, which may include:
- Your name, email address and phone number.
- The organisation or department you represent, any order or requisition number, and the name and designation of the person requesting the booking.
- Travel details relevant to your request, such as destinations, dates, traveller numbers, vehicle or venue preferences, and visa or insurance particulars.
- Any additional information you choose to include in your message.
How we use your information
We use your information to respond to your enquiry and prepare a quotation, to arrange and confirm bookings on your behalf, to keep records for administration, accounting and reporting, and to contact you using your preferred method.
Legal basis
We process your information on the basis of your consent and where it is necessary to take steps at your request and to provide the services you ask us to arrange.
Who we share it with
To fulfil a booking we share the necessary details with third-party providers such as airlines, accommodation providers, car hire companies, conference venues, insurers and visa processing services. For international travel this may involve providers outside South Africa. We require these providers to handle your information responsibly. We do not sell your personal information.
How long we keep it
We keep enquiry and booking information for up to 12 months, unless a longer period is required by law (for example, financial and tax records). After that it is securely deleted. You may ask us to delete your information sooner.
How we protect it
We apply reasonable technical and organisational measures to protect your information against loss, unauthorised access and misuse. Access to enquiry records is restricted and password protected.
Your rights
Under POPIA you have the right to request access to your information, ask us to correct or delete it (subject to legal retention), object to processing, and lodge a complaint with the Information Regulator. To exercise any of these, email bookings@relianttravel.co.za.
