How bookings work with us.

This is a general template. Review it with your team and complete the items in square brackets (cancellation terms, banking details, service fees) before publishing.

1. Making a booking

You can request a booking through our online booking tool, by email or by phone. A request is an enquiry only. A booking is confirmed once we have checked availability, issued a written confirmation and, where applicable, received the required payment or an approved official order.

2. Quotations and pricing

Quotations are based on fares, rates and availability at the time of quoting and can change until a booking is confirmed and paid. Airfares, accommodation rates and other travel costs are controlled by the relevant suppliers and are subject to their terms.

3. Payment

No payment is taken through this website. We confirm availability and pricing first. Accepted payment methods and timelines are [INSERT: e.g. EFT to the account provided on your invoice, corporate account, or approved purchase order]. For government and corporate clients, bookings may be processed against an approved order in line with your procurement process.

4. Confirmation and documents

Once confirmed, we issue your booking confirmation and travel documents. Please check all names, dates and details immediately and tell us at once if anything is incorrect, as supplier change fees may apply.

5. Changes and cancellations

Change and cancellation rules are set by each supplier (airline, hotel, transport or other provider) and by the fare or rate booked. Some bookings are non-refundable. Our service fees for changes and cancellations are [INSERT FEE SCHEDULE]. Refunds, where due, are processed once received from the supplier and may take time.

6. Travel documents and requirements

You are responsible for ensuring you hold valid passports, visas and any required health documentation for your trip. We can assist with visa applications, but the final decision rests with the relevant authority.

Professional service fees may apply to bookings and amendments. Applicable fees are disclosed in your quotation or invoice.
